Administrative Assistant, Physical Facilities
Job Summary:This person is responsible for the general administrative functions within theIndian Hills Community College Facilities department. Duties will includerecord-keeping, purchasing, inventory management, project and task management,answering telephones, and coordination of appointments and meetings.

Minimum JobRequirements:
- Post-secondary administrative assistant training.
- Three years relevant experience.
- Accurate typing and clerical abilities.
- Ability to work and communicate with a variety of people.
- Excellent organizational and customer service skills.
- The ability to handle multiple projects and changing priorities.
Work Performed:
- Coordinate purchasing processes and procedures.
- Coordinate approvals for facilities and custodial purchases.
- Maintain inventory of all IHCC Facilities equipment.
- Triage emergency facilities calls and route appropriately.
- Assist in task creation, maintenance and reporting in project management and work-order system.
- Assist in shipping and receiving as needed.
- Scanning and filing.
- Maintain blanket purchase orders for frequently used vendors.
- Maintain association membership documentation.
- Facilitate travel requests, arrangements, and reimbursements for staff.
- Receive calls from and schedule appointments for vendors, visitors and deliveries.
- Report repairs, maintenance and insurance claim information quarterly.
- Coordinate warranties for IHCC Facilities equipment.
- Office/receptionist duties for the area to include answering phones, scheduling appointments, and supplying information.
- Order and stock supplies for custodial and facilities.
- Invoicing for Facilities related utilities or services.
- Maintain regular and consistent attendance at work.
- Other duties as may be assigned.
