Administrative Coordinator- AZ- Nurse Anesthesia Program
The Administrative Coordinator is responsible for providing administrative support to the Nurse Anesthesia Program. The position reports to the Program Director.
Essential Duties and Responsibilities
- Processes paperwork for check requests, expense reports, and adjunct faculty contracts.
- Assists faculty with utilizing technology, scanning documents and ordering textbooks.
- Submits block schedules, media resource requests, room reservations and testing center reservations.
- Maintains electronic student records e.g. biographical sketches, immunizations, State Nursing License, background checks, trainings - HIPAA and OSHA, mask fits, certificates - ACLS, BLS, PALS, and letter of good standing.
- Tracks and updates all employment records for graduates and follow guidelines of the Council on Accreditation of Nurse Anesthesia Educational Programs (COA). Process all paperwork for student's Board Certification.
- Updates and maintains Medatrax for clinical year students.
- Sets up myClinicalExchange and other credentialling systems for students for rotation and coordinate information.
- Assist in getting Media Release forms from students for marketing purposes as applicable.
- Updates and maintains the catalog and website content through Ingenuix for the Program.
- Sends out clinical rotation paperwork and hospital credential paperwork to clinical sites.
- Schedules and sets up program meetings (in-person, Zoom or WebEx), takes minutes, and prepares correspondence
- Answer admission questions for potential applicants or forward inquires on to appropriate Admissions Chairs
- Assists the program and faculty with special projects and other duties as needed (e.g. requesting articles from the library, placing items on reserve, document/data base creation, assists with computer questions/problems; Self-Study for accreditation).
- Completes all duties for the annual graduation banquet and schedules graduate photo shoots.
- Assists Program Director with the Council on Accreditation and NC-SARA report annually each year.
- Assists Program Director with compiling data from Alumni evaluations, Employer evaluations, Graduate Exit Evaluations, and any other data needed.
- Processes contracts - for faculty retreats, for graduation banquets, etc.
- Uploads completed affiliation agreements into the COEE database for the Program Director to review and approve.
- Responsible for reception and clerical duties, which includes, answering incoming calls, assisting students, filing, general correspondence, and assist with IT and maintenance requests.
- In conjunction with the Dean's office and the Program Director, confirm reappointment and adjunct faculty letters and obtain new contact information as needed.
- Maintains office supplies and assists with ordering and maintaining supplies and equipment for the Anesthesia Simulation Laboratory.
- Maintains a database for each class admitted to the program.
- Completes the Student Online Course Evaluations setup each quarter.
- Performs work directly related to university policies or general business operations.

Education and/or Experience
High school diploma or GED required. A one-year certificate from college or technical school and/or Associate degree highly desired. Must have a minimum of 5-7 years relevant working experience required. Previous work experience in an administrative role in the academic environment strongly preferred. Excellent organizational skills, possess the ability to prioritize and conduct themselves in collegial manner required.Previous experience working with students and faculty highly desired.
Computer Skills
General computer literacy necessary, with proficiency in Microsoft Office Word, and Excel.Previous experience with PowerPoint is preferred.
