Job Description
Nevada State University invites applications for the position of Administrative Assistant 4 - School of Nursing (SON). The Administrative Assistant 4 (AA4) provides high level administrative support to the Dean and Associate Dean of the School of Nursing. This position serves as the Deans' liaison to the Provost and AVP of Human Resources during faculty recruitments, faculty reviews and Promotion and Tenure activities. The AA4 position compiles, organizes, and prepares materials for Deans' submission to Nevada State University departments and external agencies. Initiates, organizes and coordinates SON events both on and off campus which require processing contracts in accordance with established procedures, monitoring budget constraints, reserving appropriate event space, coordinating with support offices including Facilities, Finance and Business, IT, Marketing and other internal and external stakeholders to ensure successful event delivery. This position monitors budgets associated with purchases made during normal course of business and creates monthly financial reports for submission to NSHE Specialist 2.
The Administrative Assistant 4 acts as lead Administrative Assistant for two clinical coordinator positions. The AA4 utilizes advanced knowledge of nursing pre-licensure clinical course requirements and scheduling processes to train, advise and review work of clinical coordinators. During reinstatement process, the AA4 will facilitate communication between stakeholders to ensure appropriate student clinical scheduling and student status updates are made.
This position requires analytical and critical thinking to determine appropriate action while performing position responsibilities and meeting established deadlines. The position reports to the SON NSHE Specialist 2 and will be assigned additional duties as needed in support of School of Nursing operations.

Primary Responsibilities:
- Provides high level administrative support to the Dean and Associate Dean of the School of Nursing during faculty recruitments, faculty annual reviews and Promotion and Tenure activities, requiring the ability to maintain strict confidentiality.
- Serves as Dean's liaison to NS Provost, Human Resources and external administrative offices.
- Maintains up-to-date knowledge of SON department activities and information to provided appropriate responses for internal and external inquiries.
- Uses analytical skills to research and provide working solutions for SON program issues that may arise.
- Participates as admissions committee member determining applicant eligibility.
- Manages SON department calendar.
- Organizes and coordinates department events.
- Ensures smooth operation of SON events from scheduling through to event completion.
- Provides administrative support for SON ceremonies and events.
- Acts as Lead Administrative Assistant for clinical coordination providing training, advisement and review of work assigned to proactively resolve scheduling issues.
- Provides back up support to clinical course coordinators when required to meet deadlines.
- Serves as liaison between NSHE Specialist 2 and Registrar during the Reinstatement Process, researching and communicating student status updates and/or course assignments.
- Assists professional staff with specialized technical support when needed.
Required Qualifications:
- Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant 3 in Nevada State service; OR an equivalent combination of education and experience as described above.

Preferred Qualifications:
- Nursing clinical course scheduling experience.
- Experience with Workday Business Processes.
- Proficiency with Microsoft Office suite programs and Adobe Acrobat Pro.
- Excellent skills in communication, follow-up, organization, multi-tasking, and problem-solving.
Salary & Benefits
Budgeted salary for this position is $50,153.76. Nevada State University offers excellent benefits, including a generous vacation & sick benefits, 12 paid holidays, educational benefits, a choice between three health insurance plans that can be supplemented with flexible spending accounts or health savings accounts, and an excellent pension retirement plan through the Public Employees' Retirement System of Nevada. The plan requires employees to withhold 17.5% of the budgeted salary toward retirement with an equal employer match of 17.5%. No relocation assistance is provided for this position.
The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm.
